Why Power BI? What's so special about it?

I thought of three main bullet points.

One, we can integrate data or bring in data for multiple system reports.

As a Windward System 5 user, you've come to enjoy using our design inventory report, design customer report.

You name it. Invoice reports, one of my favorite.

It's a very all-around, all-purpose tool to bring in information.

But sometimes you want this item from that report and this from this.

And now you find yourself exporting those reports to Excel and then using some kind of Excel tool, like VLOOKUP, to combine them.

And of course, you do that at 2 PM on a Monday, maybe by 2.30 PM or 3.00 PM, it's old data and you got to export it again.

You get the idea.

It's constantly getting stale because you're taking so much time to export it and combine it.

But Power BI allows you to, you or us, or me, build the report for you and have it update all the time.

We're pulling the stuff in from multiple parts of the system.

the database, as Kyle mentioned, and then you just refresh the report and run it.

So powerful to pull these things together from different parts of the system.

For instance, one customer asked me, hey, I want to see my age receivables by salesperson.

Yeah, that's a good idea. We can do that.

Is your salesperson the clerk that took the sale or the salesperson that owns the customer?

So without getting into details of that, yes, we can pull data in from multiple resources.

You're going to see a very good example of that with a self-through-allowance report.

The second main bullet point is to perform dynamic calculations.

No need to export to Excel and do averages and different calculations.

So, what's an example of that?

Well, I got this idea from a customer, and I haven't fulfilled it yet, because we're still in the early stages, a KPI with age receivables, days to collect.

So on average, how long does it take you to collect on a receivable from the day you invoice it?

So does it take you 45 days on average to collect?

So you can start to get some trends.

Maybe your big customer, he used to pay you in 12 days.

Lately, he's been taking 55 days to pay you.

Hey, let's give him a call.

You give him a call, you find out that there's been maybe a death in the business or something happened and a key executive is maybe on his way out or they lost a big customer.

So you might need to change your credit terms because now you're seeing different trends 16 days to pay you now 55 days. So that was that's an interesting KPI that I'm excited about that project.

So Calculations and you're gonna see a really good example of a calculation in our infants in our inventory reorder insights or It's called a windward highs and lows. So you're gonna like that one.

That's my favorite actually And then the third one, so discovering trends through data mining, data mining, yes.

Digging into the database and pulling things out that we would never have thought of before.

For instance, I got this computer mouse from ABC vendor.

I would not know how long it takes me to get this.

you know, pulling information out of the database and looking at my historical purchase orders, I can see that on average it takes me 13 days to get a mouse from ABC vendor.

But from that same vendor, it only takes me three days to get my coffee mug.

Okay, so now using those lead times, I can start to determine how much safety stock I should have in the business?

What are my mens and maxes based on my lead time, sales averages, so we can mine for data and pull that data out to do predictions, forecast trends, and really, as Kyle mentioned earlier, make intelligent business decisions.

So, really make decisions based on the information we're pulling out of, out of Windward.

So what happens is whether you're on the Cloud, or whether you have your Power BI on your own local server, With a Power BI, with a Microsoft Pro license or a premium license, you can work in the app.

For people like me or your people that are building stuff, you can build it in the app, but that's just where the designers and the architects live.

you can simply consume your data from the website.

This is available to everyone in your corporate domain.

Remember earlier I said, bring in information from multiple parts of the business, customer, design, inventory.

This one is really the creme de la creme of bringing stuff in from everywhere.

I don't know if we have any appliance people, on the call, but for our appliance friends, they get rebates from the Whirlpools and the Maytags of the world.

The $1 ,000 washer and dryer, they'll get a $100 rebate, but they have to submit proof.

Before Power BI, they're exporting to Excel and combining stuff together because Whirlpool wants the self-through allowance number, the start and the end date.

I got really weird dates because this is just a make-believe system.

They want the invoice number, the work order date, the partner, and you get it. You can see the screen.

This was just a pain for our people to build.

But with Power BI, actually, I should say with Windward Intelligence, connecting Microsoft to our database, we can pull this information out.

Now, here's the thing, right, Whirlpool, the vice president at Whirlpool might wake up on a Monday morning and say, hey, I want to add a new column to this.

And that's what makes it so annoying because if you were to pay up, you know, build this report once, have a static report, and then that Whirlpool executive wakes up on a Monday morning and decides that he wants to see the email address of whoever, now you're having to add that in there.

But with the Windward Intelligence, it's so easy to add things in there.

The next one is, This is specific to individuals that have advanced inventory location, but it's also a good example of using formulas and data mining in WinWord.

For individuals that have advanced inventory location, and what that means is you take this, well, that same computer mouse I was showing you earlier, I might have 25 in the southern warehouse wall, five on display, and 10 in my returns bin for an RMA back to the vendor.

Using different locations, I can see when was the last time I counted that particular item in that particular location.

Over 112 days, zero to 28 days, so I can filter by count dates, and then give this to a warehouse person to go do a count.

What was counted within 29 to 56 days ago? Nothing.

So just because that sell-through allowance report to give to a vendor, they're going to want it in Excel.

So you click on the little three dots, export data, just data with current layout, and then that simply puts it into an Excel file and that opened up on my other screen, so I'll just pull that over here in a second, and then just comes out exactly the same way you see it in Power BI.

I'm sorry, Windward Intelligence, the department, the count days, or we could have filtered by any metric we want to.

So, Rob, that probably has a number of uses, not necessarily just for, hey, what's in each location, but this could be useful for doing cycle counts, or you mentioned something about a vendor that wants to restock.

Some people have pay-per-scan type of situations, so there's a whole lot of different use cases for this report.

You know, I've always felt that counting by location is the best way to go for cycle counting.

And when it comes to cycle counting, you really want, you don't want to go overboard and have a million locations, but small bite sized locations are ideal as well because if it's a Tuesday afternoon, if it's one o 'clock on a Tuesday and it's a slow day and you want to give your warehouse guy, hey, you got two hours, go count that wall, the smaller the section, the better, because he can now go count that entire wall and do a cycle count for that afternoon.

And you've got that one done and dusted.

And then maybe next week, Tuesday, or next week, Wednesday, cycle count your way through it weekly, monthly, and really get through your entire inventory, when you cycle count often, it can keep people more honest because they know that somebody's watching the inventory and the item that made itself out of the store into someone, the backseat of someone's car is gonna be discovered within 30 to 45 days, hopefully, and not a year later when you do your annual count.

So that's that's the idea with the the the cycle counting.

Yeah, it's easier to track stolen goods.

It's easier to track breakages and keep that stuff accurate over, you know, if you do it once a month on a certain section that you have high breakage or something like that. Just think about like a lighting showroom in the light bulb section.

So, you know, there's a lot of a lot of different things we could use that for.

Now, you can with certain premium Microsoft licenses, you can share it with somebody outside of your organization.

And for our bookkeepers on the phone, our accountants, anyone that's really diving into the cash clearing, so for those of you that use our point of sale transaction report, and cash clearing is a great protection to taking a step back.

The point of the point of sale transaction report in Windward is to have accurate bank deposits, bank reconciliations, accuracy there.

But it's nice to keep the cash clearing account honest as well.

And sometimes we find ourselves exporting that to Excel to kind of do some comparative analysis.

With the Transaction Detail tab, we kind of dive into any particular ledger. So I can dive into my cash clearing.

I can say, well, I just want to look at the period of October 2019. I didn't do anything then.

October, yeah, so obviously, dummy data set here, right? Not a whole lot.

But you can see in here, on March 4th, I debited my bank 15 ,000, you know, credited my cash claim 15 ,000.

So Using this, we can kind of look forensically at these various different ledgers.

So there could be some pretty good use cases for this, I thought.

I think we're just scratching the surface with financial reporting.

That's something we wanna do a bit more of, but I think this is a great start and this kind of opens up that avenue to build more financial reports.

And so this particular one here, highs and lows, now this is called in our slide deck, we're calling this inventory reorder insights, same thing.

Reorder points is what we're talking about here, and this is really a classic example of using calculations and formulas and data mining to discover what we should be ordering at any one given time.

I did a tab here just to keep myself honest, I called it a sales data validation, just looking at some of the stats to see what they were to make sure that my formulas were in line because there's a lot of calculations happening here.

So taking a step back, what is the purpose of this inventory reorder insights report?

It is to make sure you have the proper amount of the proper quantity of stock on hand.

We don't want to have too much stock where the stock can become obsolete and also we're kind of consuming warehouse space with something that doesn't have high demand.

But on the other hand, we don't want to have too little stock whereby our customers are going to the competitor to get their qualities fulfilled, or you're having to do back orders and special orders.

Too much of those, every time you do a back order or a special order, you're increasing your ordering cost because the purchaser has to touch it.

It's got to get sent out.

It's got to get received in by the receiver.

The warehouse guy has to touch it.

Every time you touch that product, you're increasing your ordering costs.

So having that, I guess that Goldilocks number, that Goldilocks formula, what is the right amount?

And that's where the economic formulas come in handy.

It's called EOQ or economic order quantity.

How is that determined?

That is determined by several factors.

Now, the first factor is simply lead time.

Remember I mentioned earlier with that coffee mug that took me three days to get from ABC vendor, but the computer mouse took 13 days?

Well, that's my order days.

As you can see, this Allen wrench, I can get this Allen wrench here, I can get this in seven days.

These bulbs and fuses are taking 126 days.

So using this sort of information, I can flip to different departments here. Using this sort of information, we can start to build, we can get our lead times.

So the lead time is basically the order days divided by 28.

Lead time is expressed as a monthly value. And then we're taking the sales average.

So let's go to a department that has more sales averages, yeah, we'll stay here.

These air filters, 37, what does that number 37 mean?

We can customize this for your business if you're more seasonal, but typically the economic formulas, the gurus, six months, six month average.

So on average, over the past six months, I'm selling 37 air filters per month.

That's a pretty good clip, and it takes me five days on average to get them.

Then we're computing our lows and our highs, and we're computing our lows based off the sales averages and the lead time, and then our economic order quantity, 31.

That's based on your ordering costs, your handling costs.

There's a lot of formula that goes into that, and then it comes back, gives you the high number.

What can we do with these numbers?

You can import them directly back into Winward.

One way. My favorite way, though, is actually not to import the highs and lows, believe it or not.

Because in its purest sense, EOQ isn't really based on a high.

It's based on the minute you drop below your low to order your EOQ. Now, you may wonder, why do you see EOQ CA in the US?

I've I've got them both here, one for Canada, one for US.

I'm just working with the Canadian one right now, so that's the one that's filled in.

It's a different interest rate.

It's based on interest rates, so there are different interest rates from the Federal Reserve and the States versus the Bank of Canada and Canada, so it ends to different columns.

So like I said, my personal favorite, we got the Heisenlohs simplified Excel for you to import back in, but mine is the purchase order.

I simply use the purchase order to find one that has, we'll stay here.

So using the purchase order, what is this exactly doing?

It's looking at the current available quantity, and if it's below the low, it's going to order the economic order quantity.

Taking this for this supplier, C Hawthorne Incorporated, I would click the little ellipsis, export this data to Excel, click Export, and then go back to Windward with my CSV file and go into a purchase order here.

I'm not sure if any of you have used this little feature, you can actually import a CSV file directly into a PO.

So instead of updating your highs and lows monthly, you could just run your report, the Windward Intelligence Report, and determine on any given basis what you should be putting on a PO.

So I would just click Import from CSV File, and then I would go locate a file to import back into Winward.

It works quite well.

The import feature, it's taking account of a few different things to make all the calculations happen.

It's really replacing the required orders report.

Now there's one thing it can't replace with the required orders report is the special orders, but it's doing everything besides for that.

So it's taking care of your highs and lows, it's taking care of your customer backorder stock, it's taking care of your stock queued for backorder.

The only thing you have to do after you import this CSV is go to the orders tab and bring in any special you might have.

So really kind of changing the game on how you would do a purchase order with the economic order quantity report.

Yeah so use cases on this is of course to make sure that if you have a seasonal business and the amount that you need is changing this would be helpful.

Of course, the more data that you get to feed into the system, right?

Like the more purchase orders that you have, the more history you have.

In this case, it's a limited data set, so you're not getting too much.

But if you have, you know, thousands of items and you have data from, you know, the past 10 years on how long it took you to get, you know, items in from your vendors, this is gold.

It really is, it really is.

I mean, there are a couple of caveats.

We want to make sure the data that we're getting is clean.

For instance, because we're using historical data, remember I said that computer mouse and that coffee mug, as long as you're clicking send, they send the PO, which I'm sure you are, But the other side is when you get that pallet in from ABC vendor, are you clicking receive within a day or two?

Within a day or two, you're fine.

Then we're getting up-to-date numbers.

Because if you're physically receiving the stock on a Monday, and not clicking receive PO to the following Wednesday, well, you've added nine days to your lead time, which are artificial because it really took you X amount of days, not X plus nine days.
