Sales Promotion Incentive Fund (SPIF)

Discover how to set up Sales Promotion Incentive Funds (SPIFFs) within the Windward System Five. Watch a practical demonstrations of tasks such as adding SPIFFs to a vendor's inventory, adjusting SPIFFs for existing items, and running SPIFF paid reports.

  • Jennifer moderated the webinar, which aimed to show how to set up and manage SPIFFs in Windward's software. She mentioned that questions can be submitted through the question box for later discussion.
  • Anabel was the main presenter and began by explaining that SPIFFs are kickbacks from suppliers to salespeople for selling specific items within a certain period.
  • Anabel showed how to set up SPIFFs from the item inventory by selecting the item, clicking on the SPIFF tab, and entering the start and end dates and the amount.
  • For multiple items, data load can be used to set up SPIFFs. This involves creating a CSV file with the relevant information (part number, supplier, category, start date, end date, and amount) and using the data load function in the Inventory and Purchases section.
  • SPIFF paid reports can be run under Reports, Sales Report, Salesperson's Report, and SPIFFs Paid Reports. Filters and options are available to customize the report.
  • Anabel demonstrated how to create a sale eligible for a SPIFF and how to run a SPIFF paid report to see the amount payable to the salesperson.
  • Salespeople only become eligible for a SPIFF if they meet specified profit or margin targets in each main inventory category. If the target is not met, the actual paid column will show zero for the salesperson in that category.
  • Anabel answered several audience questions, including how to add a SPIFF to a vendor already in the database (using a global entry or change), whether SPIFFs can be set as a percentage (they cannot), and if batch printing of

Good afternoon everyone.
0:45
Happy New Year.
0:47
Thanks for joining us for our first Windward webinar of 2023.
0:52
My name is Jennifer and I'll be your moderator for today's presentation. Like usual at the end of the presentation, we will have time for questions, so you want to make sure that you leave your detailed question in the question box, so that we can go back and get you the answers that you're looking for.
1:09
If you need to leave or you want to rewatch the webinar, you can look at all our past webinars: winward software dot com slash webinars, and if you have any questions that we can't answer during the presentation, or that you think of afterwards, please e-mail support at winward software dot com.
1:30
Our presenter today is anabel, and we will be discussing the Sales Promotion Incentive fund. So, without further ado, let's get started.
1:39
All right, thanks, Jennifer. Hello, everyone, as what Jennifer had said, to all be the presenter for today's webinar about spiff, which is the sales promotion incentive fun. So, we'll be discussing what spoofs are all about and we will be focusing on the basic uses, the setup, and configuration of Smith's.
2:05
So, spiff is an acronym that stands for a Sales Promotion Incentive Fund. So, it is generally a kickback from the supplier to a salesperson for selling a particular item between two dates.
2:19
So, for this set up, there is no additional setup for Smith from the setup wizard, So it needs to be set up from the item inventory. So to do so, it just need to select the item. Under Inventory and Purchases, Inventory, and Edit Item, you just need to search for it apart. And from the item inventory, you just need to click on a Spiff tab, and enter the Start, Date, End, Date, and then at the Amount.
2:47
So, once you have entered all those information, then this item, or that particular item, will then be eligible for the spit. Let's say, for example, you do have a lot of items that you wanted to set up the spiff, so, if you don't want to go to each item, inventory amica internationally, do it through a data load.
3:11
So, once it has been set up, the next step for this is you'll be adding, the the item is to assail. So, like let's say or you wanted to see how much you need to pay for the salesperson. So, that would be through this 50 page report.
3:29
So the smiths fade report can be run under Reports, Sales Report, salesperson's Report and the Scripts stop paid reports. So, as you can see on this report, there are different options. So, this option, the filters and options that are available, are as follows a salesperson. So, you have the option to either select one salesperson or all the salesperson.
4:00
And a start and end date, so this will be your, select the sales within date range. So you specify the start and end date.
4:11
And show invoice detail as though it is checked, It will show the information for each invoice on which a special part is falling.
4:23
Salesperson belongs to your customers. So, you will use, this is the salesperson assigned to the customer on the invoice, rather than the salesperson assigned to the invoice itself.
4:35
The next one is exclude discounted item. So only reports on items that sold below sale or regular price restrict to spiff item. So if this option is checked, which is, by default, this is checked. So this will this will only consider Spiff item. So the report header will change to item sold, when this option is not selected.
4:58
The other veil of filter is include work orders.
5:01
If you wanted to include a work orders and the reports, they just need to select this up, chun.
5:08
and then, we have this targets. It's either the total profit or margin percentage. So you have the option to specify the profit or a margin targets that must be met in order for the salesperson to become eligible for .... So the targets are applied to each main inventory categories. For example, if you specify a Target Margin to sales by a salesperson in, each main category will be compared against the Target Margin. The chipset say, if the salesperson has exceeded the target margin in a category, he will then be qualify for dispatched ended up main category. So if that salesperson does not qualify for the ... Maine in the main category.
5:53
So the actual fate column will show zero for the salesperson in that main category. So I'll show you later on on how this works.
6:04
And departments, So you just need to select one department or all departments, item restrict. So you just need to restrict a specific item on brand restrict. So, it's a specific brand supplier. Restrict is to a specific supplier.
6:20
And the categories, so select or categories, or a group of category. So, then X would be our live nation.
6:29
And so, what I've said, the set up, it doesn't include farther setup from the setup wizard.
6:35
So we just need to go directly to the item inventory and set the start, date, the end date, and then the amount.
6:44
So it just needs to go to the inventory and purchases, inventory, edit item. You just need to select which item you wanted to set the spiff, so like let's say, for example.
6:58
Let's do this.
6:59
So you clicked on OK, So I did the item and from the item inventory. I can see different options on the left side, or at the top.
7:09
So we just need to click on Skiffs, and from here, you will specify the start date, the end date, and the amount.
7:19
So like, let's say it start, first of, January 2023, So, And then say it ends on the end of the month, and let's say the amount is 25.
7:38
OK, alright, so the next step is once you have set it up.
7:43
So, this is not eligible per Spanish, so we can then create a sale.
7:51
So, under Sales, New Sale, so select Declared as a demo.
7:57
So, let's see, say, for example a cache, so our customer, and let's add that item on the invoice.
8:12
Yes.
8:15
OK, because it is AAC. Let me to select the serial number.
8:21
Incidence is cash and boys.
8:23
They need to tender to complete the invoice or the finished sale, OK?
8:35
So, after that, to check how much you need to pay for the salesperson, we need to go to Reports, sales Reports, Salesperson Reports, and we have the swifts Paid Report, sir from here. So these are the options that are available as a from here. From here to salesperson.
8:59
Can either select all salespeople or if you wanted to just like, let's say one specific salesperson and then you can set the date. So let's say you wanted it for a month.
9:14
And so this one right here, so you wanted to show Invoice Detail.
9:21
So, OK, so this is by default restrict to spiffed items and if you wanted to include work orders, you can check this as well.
9:29
Sylvia, click on view so this is different. This is at the top. So, this is the one thought.
9:37
Um, we have done, so the other on a, created as a test earlier. So, as you can see, it now, showed in here to spiff is 25, and then the actual paid 25. So, as you can see right here, the amount and need to pay to the salesperson is 75.
9:57
So, that's the total of all the invoices that the salesperson has made within the time period.
10:05
So, within the January one and till January 31st.
10:10
So, let's say, for example, you wanted to set a specific margin or like, Target.
10:19
So, like, say, for example, we only wanted the salesperson to be able to be eligible for a spiff if the profit is higher or it matches with a specific amount. So, like, let's see, Example, Do ours.
10:41
March.
10:46
Little snippet is zero.
10:50
So, as you can see, when I click on New Click on View, English all right? It will show right here to spiff right? Because this is the armada should be calculated.
11:01
But, as you can see, the actual page in here, it shows zero because the this particular salesperson does not reach the target the target the profit It's actually set for each main category.
11:15
So, the item is, even though as you can see the total is due to the profit, the profit right here is 1 479.97 and they are all under the same category, right, So, the the profit doesn't match the target. That has been set, So, this the reason why the paid column is zero and the amount this show right here under Total Paid. That you need to pay for the salesperson is zero, if you will set a target.
11:46
And I think that will be all for the yes fifths, do you have any questions?
12:00
Awesome, thank you. So, we do have a couple of questions.
12:02
The first question from Lance's, can you show us how to data load first, b.e.p.s., OK. All right, so for our data load, we actually need.
12:15
Column is for your CSV file, so I just, I don't know, a CSV file, so let's just create that real quick see.
12:21
Me, the part number, the category supplier and and and start and end an amount. So let's just do it right real quick, so part number.
12:38
Supplier category, especially if the parts are actually from different suppliers from different categories.
12:44
So, you need this So part number, supplier category, and so you just need to.
12:55
As well, I just wanted to specify one real quick, so, let's see.
13:02
Let's do that.
13:05
Oh, OK.
13:10
OK, so let me just export this to Excel.
13:13
Let me just edit the this one right here.
13:17
And let me just delete.
13:21
So it will add a column for.
13:27
It's just, so if it's only for one, for if it's only for one category, or, and one supplier, you don't need to include supplier in category, column, or CSV file, But let's say, for example, it was for different or multiple suppliers in multiple categories. So you need to include this two on your CSV file. So we have start date.
13:55
And then end dates, and then amount.
14:01
See adjusts habits, fine.
14:09
Wonder if, but my format is.
14:11
Let's see, OK?
14:14
And Tony 23, 1, 31, let's see, 50. This have hit 50 to all for all.
14:29
Let's make it 50 for all of them.
14:33
I'm able to save him.
14:38
Start date, OK, so, let me just save this as a CSV file.
14:48
Save it, C is B.
14:54
Ah, Let me just save it on my desktop.
15:01
And, just name it the skin.
15:10
OK, alright, so let me just close this, so that we could proceed with the data load.
15:16
So, once done a CSV file, just close that, so, once you have the CSV file, so we go to the Inventory and purchases, Data Load, Part Load, and we will look for the file, which is the scare.
15:39
Go nuts from here. You'll need to map the columns. So, we have the part number.
15:48
You have the supplier, So you just need to right click on the column and then this one is Supplier supplier, and then this is a category, it is a Spiff Start Date. So as you can see right here is Spiff.
16:06
So we will map this to start date And then this one Spare any day.
16:17
And in this one, map it to dispatch amount, and You also need to set your date format.
16:25
So, my date format is, it is year, months in, see?
16:38
So, year, month, date, select, let's say, for example, whatever your format is, you need to change your date format from here.
16:46
And then, so we go next.
16:50
And, if, like, for example, from your CSV file, it is only for one category in one supplier, and he did not specify that from your CSV file.
17:02
You just need to set the supplier, I mean, the category from here, and then to supplier from here.
17:08
So, this, we will skip the header row, and update existing regular part. So, my version is actually the, the latest version.
17:18
So it may be different from what you can see from your system five, So this is like, new option, this match, part matching method. So this one's right here.
17:33
If it, if you allow duplicates, so they will be grayed out, so let's just do Category Plus part number and let's go next next and then load.
17:47
Yes.
17:52
OK, there we go, it says updated, so let's take a look.
17:58
They close it Shall we go to so these are the items, so let's take a look at the if they are loaded.
18:10
Now, let's go to Spare, their agusta is now showing right here. So that's how you do with Data Load for it.
18:23
OK, excellent, The next question here sorry, one second, let me get to it.
18:29
Millimeter, Gerard would like to know if it's possible to set up a spiff as a percentage instead of a dollar amount.
18:39
Know, it's, It's actually set, There are there's no option to set it as a percentage, and she can see me go to the item The, the column in there is a balance. So, we don't have any other setting where we can set the spiff, though, asserts and about.
18:59
OK, Kathy would like to know if you can show her how to add a vendor that's our, sorry, let me read this, Can you show how to add the spec to a vendor that's already loaded and then database, not one at a time, buy the entire vendor.
19:21
It sounds like, it sounds like a data load.
19:26
Ah, wants to see, where they go. Sorry, my computer is all over the place.
19:35
Kathy, let us know if your question has already been answered there with the data load.
19:41
We'll move on to the next one until you respond there. ... asked, Can we batch print invoices from this report?
19:51
Previously, it would have a popup in-between in each invoice asking for a file name and where to save it?
20:00
Is that the, from this biff paper report?
20:03
Millimeter hm. Hm.
20:11
Let's see, Andy, to check.
20:14
So when you when you print, right, you're referring to the printing?
20:19
I believe Let me just.
20:27
The question is, What was the question again like abroad to continue, but where did you get the invoices?
20:48
Ms. Z.
20:52
The our option for batch sprinting is usually four inches shark. So, you get the prompt from here, right? Like, from the ... report?
21:05
I believe so, yeah.
21:09
It was asking them Tim, save as PDF or or create a PDF in-between each one.
21:16
Mmm hmm.
21:18
I wonder I need to check on on that though. Let me just check on that and then I'll just get back to you.
21:28
OK, excellent and then Kathy clarified her question.
21:32
She wants to see how to do it with a global entry or change to existing items in inventory.
21:44
Ah, OK.
21:45
So instead of adding a new one, OK, let's just use the same Select, OK, So you wanted to update the, this fifth of the existing item, right?
22:01
And set the new start and end date, and Within you pricing, or the amount? Is that correct?
22:14
I believe basically Millimeter is because it's basically it's the same process You just, need to have your CSV file and You need to have all the columns and then the the specific information, which are like the start date, end date, and The Amount.
22:33
It's the same option that you need to select when you do a data load So You do a download or just show you again.
22:42
So, the often right here.
22:47
So, once you do have the file, it's the same, it's, it's the same information that you need, as long as you have this, the start, date, end date, and then the amounts are like, let's say you wanted to start a new despair of the new amount for a new date. So you just need to specify from your CSV file.
23:09
Then you start date, and then you end date and an amount, and it's the same option that you need to select, which is update the existing regular parts.
23:19
OK, excellent, Cathy, I hope that answers your question, but if not, let us know. We can connect with you afterwards. We have a question from David.
23:28
He'd like to know how the cashier would add the salesperson.
23:33
So, if there's an ability to change them, OK, well, from the invoice, like when you, like, say, for example right here, right? So you use, from the start, you set the clerk grade. So, you set that from here by let us say, for example, it was already created, like the inverse was already created.
23:57
So from the invoice, there is an option to change the clerc under an invoice tab.
24:03
So, from here, you can change it, Sure, anyone else?
24:10
Lurkers Salesperson.
24:23
Does that answer your question?
24:27
Yep, that's great. And we have a couple more minutes, so if you have a question, you want to add it now, we can have anabel answer, otherwise, you can e-mail support at when we're at software dot com.
24:39
We have our next webinar in two weeks, January 26th we'll be discussing modifiers in system five.
24:46
And if you want to rewatch this webinar, look at some of our older ones. Again, you can go to winward software dot com slash webinars and Oliver Archives will be there.
25:01
All right, I don't see any more questions coming in, so I think we'll say goodbye for today. Oh, no, I was wrong. David's got a follow-up here: Cashier is cashing out 10 items and only one has a spiff.
25:16
So, how would you add that?
25:20
Or, do you mean like?
25:24
There's only one item set.
25:28
There is only one item for, and then.
25:36
And the other ones aren't.
25:43
I don't quite understand the question, like, OK, so you set up the spiff on one item, and then you just actually need to add it to the invoice, but is that?
25:54
Or can you give more information about your question?
25:57
Maybe, David will have someone connect with you, just to work with you on that one to get the answer for you.
26:06
Then oh, we did have a last-minute one from Gerard. For work orders and invoices, we use commission percent. In addition to clerk, can spiff be based on the salesperson commission field instead of the clerk?
26:21
Oh, Well.
26:25
Salesperson's assigned to the customer, or, or, which salesperson, or you're afraid to No, that's how I read it, yeah.
26:39
Millimeter, because I have a, by default, when you create a, when you create a click, let's say when you, this fifth will be based on, like let's say from here, like declared from the invoice. But like let's say for example, you wanted it to be on the sales person assigned to the customer.
27:00
Say, for example, you have a customer, you can assign a salesperson for product customer, so from the report, though, you could change it.
27:14
Like Waze, for example, disgust them are.
27:17
there is a specific salesperson assign like this one right here.
27:20
So there is a salesperson assign like this at this one, and then the clerk is different.
27:27
Um, you can, and then, the spiff goes to the salesperson assigned to the customer.
27:34
Near underreport, like, the spiff report, You just need to check this option: Salesperson belongs to the customer.
27:47
And if you're actually using a commission, you have commissions as well, from the Commission report, there is an option to include spiff. So, if you wanted it to show at one place, you could also check includes 50 when you're on your Commission report.
28:10
So, it will actually show the commission in the disbelief.
28:17
So you can see I don't have a commission set up. But if there is a commission set up, there will be the Commission, and then there's the spiff showing soil.
28:29
OK, I'm not sure that fully answered Dreads question. So we will have someone reach out to us while Gerard. And if there's anything else, please give us an e-mail. give us a call and we'll be happy to answer your questions. There's a couple people here we'll get back to afterwards. So, thank you guys, for joining us today, and we will see you in two weeks. Have a great day.
